Recharter Assistance

UNIT LEADERS:

Thank you to the leaders who attended the Roundtable on the Re-chartering System in October.  If you need a refresher or missed the meeting you can watch the training video HERE.

Below  are the the internet recharter user guide, FAQ, and instructions on how to use my.scouting to check your roster as well as the Youth Protection training status of your leaders.  Also, please complete this ONLINE FORM to update your Authorized Unit Account Users as well as provide Camping promotion and Friends of Scouting presentation dates for your unit. 

This year, the Gamehaven Council will pay your Unit Charter Fee ($100) if your unit submits the following by Thursday, December 15th.

  • Your unit’s recharter including missing applications, Youth Protection Training Certificates and Criminal Background check forms. 

  • A camping Promotion date for 2023.

  • A Friends of Scouting Presentation date for 2023 occurring before April 30,2023.

Steps to the charter renewal process:

To make this process as easy as possible, please take the following steps. 

Step A. Prepare:

  1. Select an adult Only Key 3 leaders (unit leaders, committee chair or chartered Org Rep) or Key 3 Delegate will have access . NO ACCESS CODE IS NEEDED.

  2. Download and review the 2023 Internet Recharter Guide 2.0 and Annual unit charter agreement. 

  3. Review this webpage and the Online  2023 Charter Renewal Resources.  2023 internet rechartering is available through Scout Book account/internet advancement link, or though My.Scouting/bsa weblinks/internet advancement 2.0 (not internet rechartering)  or https://advancements.scouting.org 

Step B. Ensure everyone is registered before starting the online charter renewal:

  1. Obtain a current roster:

    • The Unit Key 3 can access and print roster from my.scouting.  

  2. Review the roster for any missing youth or adults. Locating the Roster Tool in My.Scouting

  3. Collect membership applications for any missing youth or adult.

    • This can be done with paper applications or through the online membership application process at beascout.org.

    • Collect the right fees- ensure that you collect fees for the months that the person is active in 2022, PLUS the full 2023 fees. See the 2023 chart for pro-rate amounts. Reminder that any new youth added in re-charter process will be assessed the $25 joining fee. 

    • Questions? Contact  the Registrar, Pam Legried, or your district commissioner or district executive. 

  4. Turn in all applications before December 1, 2022.

  5. Wait a day or two for online applications to process, and a few days for paper applications to be manually processed.

  6. Obtain a fresh roster from my.scouting,  to ensure new persons are registered before proceeding to Step C.

Step B is very important. It ensures that all persons are listed when you begin online renewal, which will make the process MUCH simpler and easier!

Step C. Begin the online charter renewal process

  1. Access the Online Charter Renewal System: https://advancements.scouting.org 

  2. THREE WAYS TO PAY – However  the pay to council is the best way to go, especially if Registrar needs to make changes on any errors for your unit. 

Key dates for the charter renewal process:

October 2 2022: Online system activated.

December 15, 2022: On or before December 15th turn in the completed charter packet to Council office or to your district
